How do I licence my package?Installation of our accounting software is a simple step-by-step process with detailed instructions on the CD cover and during the installation process. Licencing of Auto Focus is required after installing the programme. It is neccessary to contact Auto Focus within 21 days of installation to obtain a valid licence key, which is specific to your computer. This licence key is valid for one computer only. Why does my computer show $ not R?Every computer has Regional Settings which can be customised to the country you live in. If your computer shows $ as currency instead of Rand, your regional settings are set to the USA and not RSA. You can adjust this by going to My Computer and choosing Control Panel. There is a category called Regional settings or Date, Time, Language and Regional options. Under regional options, choose English (South Africa). This will change your currency to Rand. |

What if a customer part pays an invoice?If a customer part pays an invoice, it would be best to not tick that invoice as paid on the Customer Invoice grid on the Paid column until it has been paid in full. Until the Paid block has been ticked, the line will be blue. The customer account can be viewed in full detail on the Customer Ledger report. Once the invoice has been paid in full, click on the Paid block. The line will now revert to white.  |

What if the dates appear as YY/MM/DD instead of DD/MM/YY?Every computer has Regional Settings which can be customised to the country you live in. South Africa has the official date format year/month/date.
To change this you can go to My Computer and choose Control Panel. There is a category called Regional Settings or Date, Time, Language and Regional options. This wording depends on the type of operating system is loaded on your computer. Under regional options, click on Customise. Choose Date and enter under Short Date Format dd/mm/yy and under Long Date Format dd/mm/yyyy. Then click on apply, then on OK. |

How do I delete a line on a grid?To delete a line, right click with your mouse at any place on the line and a box called delete will appear. Click on this block and the line will disappear. Lines can only be deleted on the input grids and not on any reports.  |

What if the entry I have just made disappears from the screen?Usually if a new entry disappears when you move to the next line, it indicates that there is a problem with the date. It may be that the Start Date or End date is different from the date you are entering. Check this first by changing your start and end dates. If those dates are correct, it is more than likely that the date you entered was incorrect. If you have used a date older than your current information date, the On Bank Statement on the Cash Management Report will no longer match the bank statement. To find the entry, look at prior months Actual Bank balances on the Cash Management Report until you find a month which balances. You will then know which month the entry appears in. You can then change the Start and End dates, click refresh and locate the entry. Another possible cause could be that you have customised the grid which could exclude the new entry from showing on the screen. Remove the customising by clicking on the red cross at the bottom left of the screen. |

How do I move data to a different computer?To move data from one computer to another, you can make a backup of the data on the computer which has had data entered onto it most recently. The backup procedure is covered in detail under the Backup section of the Help menu. This backup can the be emailed, copied onto a memory stick or disc or viewed across a network so that it can be used to restore onto another computer. The restore option instructions are found under the Restore section of the help menu. Before you are able to restore a company , the company must have been created. The company names must match or the restore function will not be allowed. NB: Be aware that restoring data will overwrite the data on the computer you are restoring onto. It is advisable to BACKUP before restoring in case an error has been made with the data you are restoring. |

How do I enter slips with some items including VAT and others with no VAT?Certain purchases you make will have vat charged on them e.g. stationery materials and others will have no vat charged e.g. milk. When you buy from a retail store it may occur that you purchase goods with vat and others with no vat on one till slip. To enter this type of slip, you need to separate the vatable goods from the non-vatable ones. You also need to determine the account each item should be allocated to. Examples of these are Cleaning, Staff Welfare, Stationery, Purchases, etc. Once you have done a breakdown of the slip, enter each item onto a separate line, choosing the correct account and ticking the vat box where applicable. All of the lines entered must add up to the total on the cash slip/invoice. |

How do I take on customers balances?If your company has already been trading before you started usingAUTO FOCUS,you may have customers who owe you money at the time you start to enter your data onto AUTO FOCUS.It is important to enter these balances onto your AUTO FOCUSto ensure that the amount your customers owe is correct. If you do not enter these balances, when a customer pays you and you enter the receipt, the customer balance will show as a minus amount.To enter the customer balance you need to create the customer account . This is done under the Edit, Customers menu. Then you need to enter the amount the customer owes you on the Customer Invoices grid. NB. Make sure that the date you enter on the invoice grid is a date EARLIER than the date you started to use AUTO FOCUS.This is important to ensure your sales figure is not higher than the actual sales value for that particular month. |
